• Implementation of annual system audits (see PG1502) and external audits
• Providing assistance for improving processes and workflows within the ILF company, collecting and tracking improvement suggestions, and error reports (see PG1504, PG1505) and regularly checking the effectiveness of improvement measures
• Preparing, updating and managing more extensive, company-specific documents, as well as ensuring publication and training (see PG0007)
• Preparing and conducting job-specific IMS training sessions as needed (project managers, department managers, etc.)
• Assisting senior management in drawing up the document “Closing of Financial Year” incl. compiling key figures and drawing conclusions about developments and tendencies (see PG1302)
• Performing continuous monitoring to determine whether potential improvements are identified and documented by the project managers at the end of the project (PG2311)
• Analysing the lessons-learned results or initiating any resulting actions (PG3206)
• Supporting the operative implementation and communication of the compliance management system within the respective company, including constant updates and further development
• Organizing, preparing, leading, documenting and following up regular scoping workshops on compliance risk analysis according to PG1804
• Performing compliance checks on contract partners according to PG1804
• Performing contract review (initial check) of contracts with agents according to PG1804 and ensuring adherence to the related workflow according to IMS PG2205
• Maintaining an updated list of gifts, donations, and donations according to PG1804
• Recording, documenting and handling identified compliance violations in accordance with PG1804, including follow-up of agreed actions
• Scheduling CMS audits on an annual basis in coordination with senior management, in accordance with

• PG1803; preparing, executing and documenting CMS audits, including follow-up of agreed actions

• Acting as a contact point for whistleblowing information in accordance with PG1804, as well as any CMS-system related improvement suggestions
• Organizing and performing regular compliance reporting to corporate management and the ILF Group

• Supporting the operative implementation and communication of the data protection management system within the respective company, including constant updates and further development

• Supervising the compliant use of data processing programs applied for the processing of personal data; monitoring and coordinating data processing and data storage measures in line with measures set by EU General Data Protection Regulation and/or applicable national data protection legislation

• Acting as a contact point for advice and consultation on data protection aspects within the respective company, and developing related internal guidelines, information memos etc.
• Scheduling data protection audits on an annual basis in coordination with the responsible senior management, in accordance with IMS PG1904. Preparing, performing and documenting related data protection audits, including following up and tracking of identified measures
• Handling complaints in relation to personal data processing, including a thorough and complete review of matters giving rise to complaints; organizing timely issuance of response statements which correspond to the complaint;
• Reporting identified personal data breaches to the concerned national supervisory authorities in accordance with IMS PG1903
• Organizing and ensuring that external processors of personal data are contracted in accordance with the provisions of IMS PG1903, including regular monitoring/auditing
• Supporting and organizing the regular DMS reporting to corporate management in accordance with IMS PG1903
• Assisting/advising senior management on the formulation and implementation of the HSSE policy and objectives;
• Assisting senior management in ensuring that all HSSE-relevant laws and regulations are observed;
• Acting as contact person for/Coordinating all legally required HSSE experts (e.g. company physician, certified safety expert);
• Acting as central contact person for the employees of the respective company and for the HSSE coordinator of the ILF Group in all HSSE-related matters;
• Preparing the annual accident statistics and forwarding it to the HSSE coordinator of the ILF Group;
• Preparing and updating, at regular intervals, the company emergency plan (see PG1602);
• Reporting all work accidents with lost working hours and all critical near-accidents of the respective company, as well as any critical developments regarding health or safety issues in the respective country, to the HSSE coordinator of the ILF Group, at the latest on the next working day;
