About the Role

A Travel Assistant supports individuals or teams with planning, booking, and coordinating travel arrangements. The role ensures that all travel plans are cost-effective, efficient, and in line with company policies, while providing a smooth travel experience.

Reporting Line: Travel Lead

Worksite: Remote/ Hybrid depending on location

Responsibilities

Organizing and coordinating business trips: booking flights, hotels, transfers, and related services.

Managing business travel for employees.

Managing both business and personal travel for directors, including luxury travel arrangements.

Organizing offsite events and team-building activities: from planning to on-site coordination when required.

Maintaining accurate records and reports on booked services (spreadsheets, presentations, and other documents).

Helping colleagues with travel-related matters: researching and providing information, clarifying travel policies, and offering solutions.

Collaborating with service providers: searching for suppliers, negotiating terms, managing contracts, and maintaining effective communication.

Qualifications

Previous experience in travel support (corporate side or travel agency) or as a personal assistant, 5-star hotel staff, concierge service specialist, event specialist.

Russian: fluent.

English: B2 or higher.

Ability to prepare structured text documents, organize data in spreadsheets and create presentations.

Personal travel experience, good geographical knowledge and understanding of travel processes.

Client-oriented approach.

Attention to details.

Ability to find solutions quickly and handle unexpected situations.

Work schedule (Malta time)

Weekdays: 09:00 18:00

12 evening shifts per week: 14:00 22:00

Occasional weekend shifts: 10:00 19:00 (paid additionally)
